Recipe - Enquiry Auto Responder

Enquiries received into iDashboard can be auto-responded to using automations. The enquiry auto-responder can utilise either a property's canned response or a generic response set up as part of the automation.

How to Add a Canned Response

1. Open a property listing in iDashboard
2. Go to Marketing > Enquiry Response
3. Enter the "canned" response you would like to use for enquiries.
4. Click Update.

How to Create the Automation

1. Go to Admin & Account Settings > Automations.
2. Click Add Automation
3. Complete the form with the following details
   • Automation Name: Enquiry Auto Responder
   • Scope: Automation runs for everyone in the office
   • Only run once per property: No
   • Only run once per contact: No
   • Only run once per contact per property: No
4. Click Add Automation
5. If you are not redirected to the automation builder, click on the name of the automation that was just created.
6. In the Flow Builder tab, click the Add Trigger box and select the An enquiry is created option.
7. Click Add Step
8. Click Send a canned response
9. In the Edit Automation Step window, set the following:
   • Set Enquiry Status: Set this to either New, In Progress, or Complete, depending on how you manage your Lead Inbox. If you do not manage enquiries in Lead Inbox, we recommend setting this option to Complete.
   • Send From: Choose to have the auto response email sent from either the primary listing agent of the property or from the agency.
   • Subject: Enter the subject of the auto-response email. An example subject line is Thank you for your enquiry on {{property.street}}, {{property.suburb}}, where {{property.street}} and {{ property.suburb}} will automatically add the street and suburb of the property.
   • Default Response: Enter the default response that should be used in the case that the property the auto-responder is used on does not have a canned response set. The default response will also be used if the system is unable to automatically determine the property the received enquiry is for.
10. Click Save
