You need to reconcile your Trust every month, however transactions can be reconciled daily if you have a busy trust account.
Before You Start
- Reconciling individual transactions does not reconcile the month, so this can be done daily or weekly.
- Reconciling the month will lock the month, allowing future months to be reconciled; if you lock a month early, or need to unlock a previous month, follow the unlock instructions on screen.
- You can only reconcile a month if the previous month has been reconciled.
- It is recommended to reconcile months even when there are no transactions; in this case the opening and closing balance for the month is confirmed before the month is locked.
Reconciling Transactions
It is recommended to reconcile transactions as the funds arrive in your account.
- Go to Trust > Reconcile Trust
- Select the month from the Month dropdown
- Next to each transaction, click Reconcile Now
- If needed, you can unreconcile transactions by clicking the green Reconciled button on each transaction
Reconciling Months
Reconciling your month will close off the month and prevent further transactions from been reconciled in that month. You can only reconcile a month if the previous month has been reconciled.
- Go to Trust > Reconcile Trust
- Select the month from the Month dropdown
- Ensure all transactions for the month are marked as Reconciled (see Reconciling Transactions above)
- in the Trust Account Statement Closing Balance field, enter your closing balance, if your trust balances, the Reconcile button will appear, otherwise an "Out By" error will be shown
If an "out by" error is shown, review your transactions to ensure the correct transactions are reconciled for the month. - Click Reconcile {Month Year}
- Confirm your Closing Balance and Actual Bank Balance, then click Reconcile
- Reconcile reports will become available for download
Unlocking Months
If you choose a month that is already reconciled, you will see a message stating the month is locked. To unlock your month, click Request Unlock and follow the instructions on-screen - for trust security, you will need to contact our help desk team with the code provided on screen. You can cancel the unlock by clicking Cancel Unlock Request.
