You can create Supplier Payouts directly from your Trust account by linking a supplier to a VPA Expense.
Before You Start
- Only Vendor Expenses (Vendor Paid Advertising or VPA) can be paid out via the Trust.
- Suppliers work like regular contacts, and can be added as Companies via the Contacts menu.
- To make contact management easier, we recommend adding a 'Supplier' contact category.
- Suppliers need to have Bank Account details added to enable ABA payouts.
- If you have several expense entries for a single supplier, these need to be paid out via the Trust individually; for auditing purposes, you can not 'batch' expenses or invoices into a single payout.
Create a Supplier Expense
- Go into your property via Real Estate > Properties
- Click on the Expenses tab
- Click the Add New Expense button
- Enter a Date and Description for your expense (i.e. Signboard)
Leave the status as Unpaid; Only unpaid expenses will show in Trust for Payout. - Select Charge To > Vendor
- Enter the debit amount for the expense
- Select a Supplier (new Suppliers can be created via the Select Contact popup)
- Enter a Supplier Invoice Number and Payment Reference
Supplier Payment Reference is required for ABA payouts. If you don't have a Reference, just enter the Supplier Invoice Number again. The reference is what will appear in your supplier's bank account, helping them match or reconcile the payment to an invoice. - Click Add Expense
Expense Payouts
Expense Payouts enables you to pay expenses from the Trust to your agency or suppliers.
- Go into your property via Real Estate > Properties
- Click on the Expenses tab, followed by the Trust Ledger tab
- Click the yellow Payout button
- Select the Payout Type > Expenses
- Select a supplier expense in the To... list
Only unpaid supplier expenses will show in this list to help prevent double-payments. The amount due will automatically be filled in the Payout Amount field, but you can change this if needed. - Enter your date prepared, prepared by and payout amount
- The Description is automatically generated for you, but you can modify this if needed
- Click Next
- Review your payout details, and click Confirm to create your payout
- The original Expense will have its status automatically updated to Paid
ABA Banking
Supplier payouts can be paid out using the ABA Banking feature. For more information, check out the ABA Banking help desk article.
Printing Remittance Advice
Some payout transactions can have a remittance advice printed. Not all payout transactions support a remittance advice.
- Go into your property via Real Estate > Properties
- Click on the Expenses tab, followed by the Trust Ledger tab
- Click Print on the individual transaction
