Every employee in your business who will access iDashboard must have a user account with a password.
Agents who will appear as the listing agent on a property, and who want to use iDashContacts all require an account with a login and password.
To ADD a new Employee account:
- Hover over the User menu in the top right corner and click Admin & Account Settings.
- Click Employees.
- Click Add Employee located in the top right corner.
- The New Employee will appear, here you need to:
- Enter their First Name
- Enter their Last Name
- Choose the Role they will belong to
- Enter their Email (can be a shared email for the office)
- Enter their Login (username)
- Enter & Confirm their Password
- When you are ready to create your new employee click Create Employee.
Note: If you are adding an employee for your website only please leave the login (username) and password fields blank.
A note for third-party product users! If you use a third-party software product, like MyDesktop or Rockend REST, we will create the Employee automatically for you the first time we receive a listing with that employee as the listing agent. The name, email and phone numbers of the employee in iDashboard must remain an EXACT match to that of your preferred software, otherwise, the employee will be duplicated the next time we receive them.
To EDIT an Employee:
- Hover over the User menu in the top right corner and click Admin & Account Settings.
- Click Employees.
- The Employees screen will load, listing all the existing Employees set up in your account. Click the employee you want to edit.
- The summary screen for the selected employee will load, click the Edit tab.
- On the first tab, Details, you can:
- Modify the First and Last names of the employee
- Modify their Job Title
- Modify the Role they belong to
- Set their Time Zone
- On the second tab, Contact, you can:
- Modify their Email Address
- Modify their Portal Email Address (see note at the end of this article)
- Modify their Phone number
- Modify their Fax number
- Modify their Mobile number
- On the third tab, Login, you can modify their login (username). This is used to access iDashboard and all iDashboard-related products, such as trea, iHomes and iDashContacts.
- On the fourth tab, Address, you can add the office address for the employee. Note this is only required for offices that have a single iDashboard account but have multiple physical office locations.
- When done, click Update Employee to save your changes.
To SUSPEND access for an employee:
- Hover over the User menu in the top right corner and click Admin & Account Settings.
- Click Employees.
- The Employees screen will load, listing all the existing Employees set up in your account. Click the employee you want to suspend access for.
- The summary screen for the selected employee will load, click the Edit tab.
- Click the Login tab.
- Ensure the Login text box is blank and click Update Employee.
To give access back to your employee, follow the instructions above. However, at step 6 add a username in the Login text box for the employee.
To DELETE an employee:
- Hover over the User menu in the top right corner and click Admin & Account Settings.
- Click Employees.
- The Employees screen will load, listing all the existing Employees set up in your account. Click on the Actions Menu for the employee you would like to delete and select Delete.
- The Delete Employee screen will appear. Using the drop-down boxes, re-assign any property, contact or task data to another employee.
- When ready click Delete and Reassign.
The process of deleting an employee and reassigning their data is completed by our job system. The actual job itself may take up to an hour to process (depending on how much data is assigned to the employee). The employee will continue to appear in iDashboard until they are fully deleted.
WARNING: The action of deleting an employee is permanent and can not be undone, even by the team at iProperty. We recommended SUSPENDING access to an employee before making sure you are certain you want to delete them.
